About Project Expedite Justice

Project Expedite Justice (PEJ) is a United States-based NGO with 501(c)(3) charitable organization status founded in 2016.

PEJ's mission is to use all available legal options to seek justice for individuals who are inadequately protected under the law, who cannot access legal resources, and who are exploited by governments, corporations, or others.

PEJ applies a novel, victim-centered approach to addressing mass atrocities. PEJ's three-step model includes training, mentoring, and providing independent legal consulting. We partner with and train local lawyers and investigators to collect, analyze, and preserve evidence according to international legal standards. Without evidence, there can be no accountability. We further build local capabilities and advance the justice process through case-specific mentoring and strategic guidance to local legal practitioners and investigators. Finally, we partner with local NGOs, pro bono law firms, and legal clinics to represent victims of international crimes and serious human rights abuses in court or alternative judicial mechanisms.

We have projects in various countries and are an inclusive team that includes people working remotely from many different places, including several countries in Africa, Asia, Europe, South America, and the USA. We are deeply committed to increasing the opportunity for lawyers from the global majority or global south to participate in international Rule of Law-based non-profits. What is the job?

The Administrator ensures PEJ’s administrative, HR, and fundraising functions run efficiently. This multifaceted position requires a candidate who can thrive in a dynamic environment, exhibit excellent organizational skills, and maintain a keen eye for detail. The administrator will contribute significantly to the organization's success by facilitating processes and supporting various departments' efforts.



Duties and responsibilities:

1. Contract Administration: 

  • Prepare comprehensive onboarding packages for new hires, ensuring all necessary documents and information are provided.

  • Draft contracts for new hires and contract renewals, collaborating with relevant departments to ensure accuracy.

  • Coordinate with the IT consultant to facilitate the setup of new hires' technology requirements.

  • Guide new hires through the onboarding process, assisting them in completing necessary paperwork.

  • Maintain a structured filing system for HR-related documents, ensuring easy access and compliance with data protection regulations.


2. Administration support for PEJ team members: 

  • Provide logistical support for travel and training sessions, arranging travel accommodations and necessary materials.

  • Fulfill miscellaneous administrative requests from various programmes, contributing to streamlined operations.

  • Collaborate with staff members to ensure accurate submission of travel expense reports to the finance department.

  • Oversee office operations and facilities, ensuring a well-maintained and organized work environment.

  • Produce hard copies of important documents for record retention purposes.

  • Maintain a structured filing system for the organization's operational documents, enhancing accessibility and organization.


3. Fundraising support 

  • Monitor opportunities on Grants.gov, identifying potential sources of funding relevant to the NGO's mission.

  • Research and track additional funding prospects beyond Grants.gov, diversifying the organization's funding sources.

  • Alert relevant stakeholders about promising fundraising opportunities.

  • Provide administrative assistance for proposals and grant report submissions upon request.

  • Establish and manage a systematic filing system for fundraising-related documents, promoting efficiency and compliance.


Qualifications

  • Bachelor's degree in Business Administration, Human Resources, Nonprofit Management, or a related field.

  • Previous experience (3-5 years) in administrative roles, with a focus on contract administration, HR support, and fundraising in a nonprofit or NGO setting.

  • Excellent organizational and multitasking abilities.

  • Strong attention to detail and accuracy.

  • Proficiency in office software (Microsoft Office Suite, document management tools, etc.).

  • Effective communication skills, both written and verbal.

  • Ability to handle confidential information with discretion.

  • Capacity to work independently and collaboratively in a fast-paced environment.

  • Commitment to the NGO's mission and goals.
